MUHETO Travel & Tours operates this car-rental website from Kigali, Rwanda. This policy explains how information is used when you browse, create an account, contact us, or rent a vehicle.

1. Information collected

• Account information: your name, email address, password stored as a hash, and account security records.
• Booking information: contact details, selected vehicle, rental dates, pickup and drop-off locations, guest count, driving option, and information you include in booking notes.
• Rental activity: booking decisions, extension requests, returns, caution money, refunds, damage reports, traffic fines, outstanding balances, and recorded payments.
• Messages and subscriptions: enquiries you submit and your email address when you subscribe to updates.
• Technical information: session and security cookies, request information such as IP address and browser details, and operational or activity logs used to run and protect the service.

Required fields are marked on our forms. Without the information needed to manage your account or rental, we may be unable to provide that service. Optional notes and newsletter subscriptions are voluntary. Please avoid submitting unnecessary sensitive information.

2. Why information is used

We use information to create and secure accounts, handle booking requests, arrange rentals and returns, provide access to relevant vehicle documents, communicate booking updates, manage deposits and charges, answer enquiries, prevent misuse, and maintain service records.

Processing may be necessary to take steps at your request or perform a rental agreement, meet applicable legal obligations, or support legitimate service and security needs where permitted by law. Optional marketing uses your subscription choice; you can withdraw that choice without affecting your rental.

3. Who may receive information

Authorized staff access information needed for their responsibilities. Hosting and email service providers process information needed to operate the website and deliver messages. Where necessary for a rental, claim, or legal obligation, relevant information may be shared with a driver or transport partner, insurer, professional adviser, or competent authority.

If you contact us using WhatsApp or another external service, that provider also processes information under its own privacy terms. We do not sell personal information.

4. Cookies and external services

The website uses cookies to maintain sign-in sessions, remember applicable preferences, and protect forms and accounts. Blocking essential cookies may prevent sign-in or booking features from working. You can manage cookies through your browser settings.

Some website assets load from external providers, which may receive technical request information such as your IP address. Links to external websites and messaging services are governed by those services' policies.

5. Storage and international processing

Information is stored in website databases, private file storage, logs, and backups. Hosting, email, and other providers may process information outside Rwanda. Contact us to request details about the providers, processing locations, recipients, and applicable safeguards for your information. Any international processing must meet applicable data-protection requirements.

6. How long information is kept

Account information is retained while needed to provide and secure your account. Booking, payment, deposit, fine, and damage records may need to remain after a rental ends for accounting, legal obligations, or resolving claims. Enquiries, technical logs, and backups are retained according to their operational purpose and applicable requirements.

Retention depends on the record and any outstanding obligation or dispute. You can ask us for the retention period applicable to your records and request deletion when continued retention is no longer justified. Closing an account does not automatically remove records we must lawfully retain.

7. Security and vehicle documents

The website uses password hashing and access restrictions to protect accounts and private records. Clients can access only their own booking information. Vehicle-document downloads are restricted to the client whose confirmed rental is active and end when the vehicle is returned. No online service can guarantee absolute security. Keep your password private and report suspected account misuse promptly.

8. Your privacy rights

Subject to applicable conditions and legal exceptions, you may request access to your information, correction, deletion, restriction of processing, portability, or object to processing. Where processing depends on consent, you may withdraw it; this does not invalidate earlier lawful processing. You may also request information about recipients and international transfers.

We will respond within the periods required by applicable law and explain any lawful limitation. If your concern remains unresolved, you may contact Rwanda's Data Protection and Privacy Office.

9. Marketing and booking messages

You can unsubscribe from newsletters using the unsubscribe link in those emails or by contacting us. Essential account and rental messages, including booking decisions and charge updates, are separate from optional marketing.

10. Booking decisions and children

Booking confirmation and rental-related decisions are reviewed by our team; automated estimates do not by themselves confirm a rental. This website's rental accounts and booking services are intended for adults. Contact us if you believe a child has provided personal information without appropriate authorization.

11. Policy updates and contact

Changes will be posted on this page with an updated date. We will provide additional notice of significant changes where required.
